A rotation that stays fair on its own

The usual failure isn’t forgetting to fill a slot — it’s the same three people filling it every month while others are never asked. CongreGreat fills duties automatically by scoring each eligible member, and the strongest signal is how long it has been since that member last did that particular duty.

Recent serving, how much someone is already carrying this month, and being scheduled twice in one day all count against a candidate, so the schedule spreads out instead of settling on whoever is easiest to remember. Scarce duties with only a handful of eligible members are filled first, before a duty anyone can do spends those people.

Members say which duties they’re willing to do

Every member has preferences recorded per duty and per service, so someone can be willing to usher on Sunday morning without ever being scheduled for the midweek study. Auto-assignment only ever draws from the members who said yes to that duty.

Members who should never be auto-assigned — someone you always place by hand — can be marked as such and stay out of the pool while remaining fully schedulable manually.

When someone can’t make their assignment

From the link in their assignment email a member can ask for a replacement. The request can go out to everyone eligible for that duty, or to one specific person — and it can be framed as a swap, offering to take one of their duties in exchange.

Whoever accepts is assigned and notified, the original member is told it is covered, and the service shows the change. Until it is covered, the duty is flagged as needing a replacement so nothing quietly disappears.

Confirmations by email or text

Assignments go out by email, and by text message for members who have consented to receive them. Each one carries the date, the service, the duty, and its instructions.

Members confirm with one tap on the link in the message, and the schedule shows the difference between someone who has acknowledged their duty and someone who has merely been written down — which is the gap most spreadsheets hide until Sunday morning.

People who are away, and people who have left

A member travelling, recovering, or on sabbatical can be marked inactive until a date. Until that date they are left out of auto-assignment and duty emails, and when it passes they are folded back into the rotation without anyone having to remember.

A member who has genuinely moved on can be marked inactive with no return date, which takes them out of the pools for good while keeping the serving history intact.

Questions about volunteer scheduling

How does CongreGreat decide who serves?

It scores every member eligible for the duty. The biggest factor is how long since that member last did this same duty, so the rotation moves. Serving recently, already carrying several duties this month, or being scheduled elsewhere the same day all push a member down the list.

What if someone can’t make their assignment?

They request a replacement from the link in their assignment email. The request can go to everyone eligible for that duty, or to one person directly — optionally offering a swap. Whoever accepts is assigned and notified, and the duty stays flagged as uncovered until someone does.

Do volunteers need an account to set their availability?

No. CongreGreat emails a personal link to a form where they tick the duties and services they are willing to serve, and their answers save straight to their record. No password, no app. Member sign-in exists for congregations that want it, but it is entirely optional.

How do we handle someone who’s away for a month?

Mark them inactive until the date they’re back. While they’re away they are skipped by auto-assignment and left out of duty emails, and on that date they return to the rotation automatically. Their serving history is untouched, so scheduling picks up where it left off.
